Workflow automation
GoHighLevel workflows that fire when they should, and only then.
Follow-up, reminders, no-show recovery, pipeline moves and team alerts, built as a small set of readable workflows instead of forty overlapping ones.
Why this matters
HighLevel’s workflow builder can do almost anything, which is exactly why accounts get messy. Each new idea becomes a new workflow, triggers overlap, a contact enters three sequences at once and receives the same text twice. Nobody is sure which workflow is responsible for what.
I build automation the way a developer builds software: one responsibility per workflow, explicit entry and exit conditions, re-entry settings chosen on purpose, and goal events that stop a sequence the moment the contact does what you wanted. Every branch is tested with real test contacts before it touches a customer.
Sound familiar?
Signs you need help with workflow automation
- Leads get the same SMS twice, or no SMS at all.
- You have workflows named "copy of copy of new lead" and are afraid to turn any off.
- Follow-up keeps going after a lead has already booked or bought.
- Appointment reminders fire for cancelled appointments.
- Your team still manually moves opportunities and sends "just checking in" texts.
Scope
What’s included
- 01
Speed-to-lead
Instant SMS and email on form, ad or call, plus an internal notification and task so a human follows up while the lead is warm.
- 02
Nurture sequences
Multi-day SMS/email follow-up with goal events and “stop on response” so sequences end when the lead engages.
- 03
Appointment automation
Confirmations, reminders at the right intervals, reschedule handling and status-based branches for showed / no-show / cancelled.
- 04
Pipeline automation
Opportunities created and moved automatically from real events (booked, showed, paid), so the board reflects reality.
- 05
Reactivation
Re-engagement campaigns for cold leads and past customers, with opt-out handling and sensible frequency limits.
- 06
Documentation
A workflow map: what each workflow does, its trigger, its exit conditions and which other workflows it hands off to.
Worked example
Example: new lead to booked call
A consultation-based business with leads from a website form.
Illustrative logic. Exact triggers and timing are designed per business.
- 01
Trigger: Form Submitted (consultation form). Filter excludes contacts already tagged “client”.
- 02
Actions: create opportunity in “New”, send SMS within a minute, send email with booking link, notify the assigned user.
- 03
Goal event: Appointment booked. When reached, the contact leaves this workflow immediately.
- 04
Wait 1 day → If/Else: replied? If no, send a short second SMS. Wait 2 days → final email, then move opportunity to “Nurture”.
- 05
A separate appointment workflow handles confirmations and reminders, so the two never collide.
Process
How it works
- Step 1
Map the journey
We list every path a contact can take, from first touch to paid customer, including the unhappy paths.
- Step 2
Design the logic
Triggers, filters, branches, waits and goals are written down before anything is built.
- Step 3
Build & test
Each branch is run with test contacts and checked in the execution logs, including edge cases like rebooking.
- Step 4
Monitor
After launch I review enrollment history and errors for the first weeks and adjust timing and copy.
A good fit for
- Businesses with leads but slow or inconsistent follow-up
- Accounts with overlapping, untrusted workflows
- Teams that want automation documented
Not the right service for
- You want to send unsolicited bulk SMS to purchased lists
- You have no consent records for the contacts you want to message

FAQ
Workflow Automation: questions
How many workflows do I need?
Usually fewer than you have. A typical service business runs well on 6–12 focused workflows: speed-to-lead, nurture, appointment confirmation and reminders, no-show recovery, post-appointment follow-up, review request and reactivation.
Can you fix my existing workflows instead of rebuilding?
Yes. I start with an audit of triggers, filters and re-entry settings. Often the fix is consolidating and adding exit conditions rather than rebuilding from zero. See the troubleshooting service for that path.
Do you write the SMS and email copy?
I write clear, compliant first drafts in your voice, including opt-out language where required. You approve everything before it goes live.
Will automation make my messages feel robotic?
Not if it is designed well. Short messages, real sender names, sensible timing and stopping when someone replies keep it human.
