The challenge
New leads were posted to a Slack channel and team members claimed them by hand. Two people sometimes worked the same lead, others slipped through, and HighLevel assignments were updated late or not at all.
Existing setup
HighLevel held the contacts and opportunities. A Slack channel received a notification for every new lead. Assignment in HighLevel was a manual step after someone claimed a lead in Slack.
Problems identified
- Double assignments when two reps claimed the same lead
- Delayed follow-up while waiting for someone to update HighLevel
- No reliable record of who owned which lead
Strategy
Keep the team's existing habit (reacting in Slack) and make it the trigger, so ownership is set in HighLevel the moment someone claims a lead. The first reaction wins.
HighLevel implementation
- 01
Zapier watches the lead channel for a ๐ reaction on new-lead messages.
- 02
A parsing step extracts the lead's name, email and phone number from the Slack message.
- 03
The Slack user who reacted is matched to their HighLevel user ID through a lookup table.
- 04
The contact and its opportunity are assigned to that HighLevel user.
Automations built
- Reaction-based assignment Zap (Slack โ parsing โ lookup โ HighLevel update)
Integrations
SlackZapierHighLevel via LeadConnector
Outcome
- Lead assignment happens automatically when a rep reacts, instead of minutes later by hand.
- Duplicate claims were eliminated because the first reaction sets the owner.
- Ownership in HighLevel is always current, which improves accountability and follow-up.
