GoHighLevel setup

GoHighLevel setup, done in the right order.

A new HighLevel account has dozens of settings that depend on each other. I configure them in sequence so your phone, email, calendars and automations work on day one instead of failing quietly in week three.

Why this matters

Most HighLevel problems I am asked to fix were created during setup. A sending domain that was never authenticated, a phone number bought before A2P registration was planned, a calendar connected to the wrong Google account, custom fields created three different ways by three different people. None of these break anything on the first day, which is why they get missed.

A proper setup follows dependencies. Business profile and time zone come before calendars. Domain authentication comes before the first email campaign. A2P planning comes before the first SMS workflow. Field and tag naming conventions come before anyone imports a contact. When those decisions are made up front, everything built afterwards is simpler.

Signs you need help with account setup

  • You signed up for HighLevel weeks ago and still have not sent your first automated message.
  • Emails from the account land in spam or show "via" another domain.
  • Your team is unsure which calendar, pipeline or form is the "real" one.
  • You bought a snapshot, imported it, and now nothing quite matches your business.
  • You run an agency and every new client sub-account takes days to configure by hand.

Scope

What’s included

  • 01

    Business profile & account settings

Company details, time zone, business hours, users, roles and permissions, so data and notifications go to the right people.

  • 02

    Domains & email sending

Funnel/website domains and a dedicated email sending domain with SPF, DKIM and DMARC records, checked before the first send.

  • 03

    Phone & SMS foundation

LC Phone or Twilio numbers, call forwarding, voicemail and a plan for A2P 10DLC registration before SMS goes live.

  • 04

    Calendars

Calendar types chosen for how you actually book (individual, round robin, class, service), availability, buffers and Google/Outlook sync.

  • 05

    CRM structure

Pipelines and stages that match your sales process, a tag taxonomy, contact and opportunity custom fields, and custom values for reusable details.

  • 06

    Snapshots (agencies)

A clean master snapshot for your client onboarding, with naming conventions and a checklist for what must be customised per client.

Worked example

Example: a two-location service business

Two offices, three staff who take bookings, leads from a website form and Facebook ads.

This is an illustrative structure, not a client case study.

  1. 01

One sub-account with a location custom field instead of two accounts, so reporting stays in one place.

  2. 02

A round-robin calendar per location with staff availability, a 15-minute buffer and a 4-hour minimum booking notice.

  3. 03

A single "New Leads" pipeline with stages: New → Contacted → Booked → Showed → Won / Lost.

  4. 04

Tags limited to source and intent (for example src-facebook, intent-quote) so smart lists stay readable.

  5. 05

Custom values for the business phone, booking link and office addresses, so templates update in one place.

Process

How it works

  1. Step 1

    Discovery call

We map how leads arrive, who follows up, how you book and how you get paid. This decides the structure.

  2. Step 2

    Architecture document

A short written plan: pipelines, stages, fields, tags, calendars and integrations. You approve it before I build.

  3. Step 3

    Build & test

Configuration in dependency order, with test contacts pushed through every path: form, call, booking, payment.

  4. Step 4

    Handover

A walkthrough recording and a written reference of what was built, where it lives and how to change it safely.

A good fit for

  • New HighLevel users who want it done properly once
  • Agencies standardising client onboarding
  • Businesses rebuilding a messy account

Not the right service for

  • You only need one funnel page designed
  • You want someone to log in once a month with no plan

FAQ

Account Setup: questions

How long does a GoHighLevel setup take?

A focused single-business setup usually takes one to three weeks depending on how many calendars, pipelines and integrations are involved. A2P 10DLC approval runs on the carriers’ timeline, so SMS go-live can trail the rest of the build.

Do I need a snapshot?

Only if it fits. A snapshot is a starting template, not a finished system. For agencies, a well-built master snapshot saves real time. For a single business, a custom setup is often cleaner than adapting someone else’s template.

Can you set up an account I have already started?

Yes. I audit what exists first, keep anything that works and document what I change, so you do not lose contacts, history or live funnels.

Will I be able to manage it myself afterwards?

That is the goal. Every setup ends with a walkthrough and written notes on naming conventions and where things live.
