GoHighLevel Account Audit: A 30-Point Checklist to Find Leaking Leads
Audit your GoHighLevel account in eight areas: pipelines, workflows, lead follow-up, calendars, forms, integrations, SMS/A2P and reporting. Free audit offer inside.
A GoHighLevel audit checks whether the account still matches how the business sells. Work through eight areas in order: pipelines and contacts, workflows, speed of lead follow-up, calendars, forms and funnels, integrations, SMS and A2P compliance, and reporting. Test with a real test contact rather than reading settings, and fix the issues that lose leads first.
Most HighLevel accounts do not break in one go. They drift. A workflow gets duplicated for a new offer, a form gets swapped, someone adds tags nobody uses, an integration token expires. Each change is small, but together they create gaps where leads go quiet. An audit finds those gaps before they cost you more.
Before you start
- Create a test contact using an email address and phone number you control. Tag it
testso it is easy to find and exclude from reports. - List every way a lead enters the account: each form, funnel, calendar, ad integration and inbound number.
- Work in one sub-account at a time. Agencies with many sub-accounts should start with the one that brings in the most revenue.
1. Pipelines and contacts
- Do the pipeline stages match how you actually sell? Stages nobody moves opportunities into are a sign the pipeline was copied from a template.
- Are there opportunities stuck in a stage for weeks? That is usually a missing follow-up, not a lazy salesperson.
- Duplicates. Check that duplicate contact rules match how you collect leads (email, phone or both).
- Custom fields. Remove or archive fields nobody fills in; make sure the ones automations rely on are mapped from your forms.
- Tags. A tag list nobody can explain is a list of hidden triggers. Document what each one does.
2. Workflows
- Published or draft? A draft workflow does nothing. It is the most common cause of workflows not firing.
- Trigger filters. Confirm each trigger watches the right form, calendar, pipeline or tag.
- Re-entry settings. Decide deliberately whether a contact can go through again.
- Overlapping workflows. Two workflows reacting to the same trigger can double-message leads or cancel each other.
- Goals and exit conditions. Leads who book or buy should stop receiving “are you still interested?” messages.
- Execution logs. Open the logs for a recent lead and look for skipped or failed actions.
3. Lead follow-up
- How fast is the first response? Submit your test form and time the first email or SMS.
- Is someone notified? Check internal notifications go to a person who still works there and still reads them.
- Is there follow-up after the first message? A single message and then silence is where most leads are lost.
- Missed-call text-back. If you use it, call your number from the test phone and confirm it fires.
4. Calendars and bookings
- Availability and time zones. Book a test appointment from a different time zone if you serve one.
- Calendar sync. Confirm bookings appear in the connected Google or Outlook calendar and blocked time is respected.
- Confirmations and reminders. Check both arrive, with the right date, time and meeting link.
- No-show and reschedule paths. Something should happen when someone misses or moves a booking.
5. Forms, surveys and funnels
- Every form creates a contact with the fields mapped correctly. Submit each one.
- Every form starts the right automation. Forms swapped on a funnel page often lose their workflow trigger.
- Thank-you pages and redirects go where you expect, on mobile too.
6. Integrations
- Facebook lead ads. Submit a test lead from the ad’s form and confirm it arrives. Expired permissions are a common cause of leads not syncing.
- Payments, Zapier and webhooks. Check connections are still authorised and recent runs succeeded.
- Email sending domain. Confirm a dedicated sending domain is set up and authenticated, so emails land in inboxes.
7. SMS and A2P 10DLC
- Registration status. Check your brand and campaign are approved. If not, see why A2P registrations get rejected.
- Consent capture. Forms that lead to SMS should collect clear consent.
- Opt-outs. Reply STOP from the test phone and confirm the contact is marked as do-not-disturb for SMS.
8. Reporting
- Lead sources. Can you tell where each lead came from? If attribution fields are empty, your ad decisions are guesses.
- The numbers you actually use. Make sure the dashboard shows the few numbers you make decisions on, such as new leads, booked calls, show rate and pipeline value, and that test contacts are excluded.
What to fix first
Not every finding matters equally. Fix in this order:
- Anything that loses leads now: forms not creating contacts, workflows in draft, broken integrations.
- Anything that risks compliance: missing SMS consent, broken opt-outs, unregistered texting.
- Anything that slows follow-up: missing notifications, single-touch follow-up, no reminders.
- Everything else: clean-up, naming, reporting improvements.
Keep a short written record of what you found and changed. The next audit will take a fraction of the time.

What is a GoHighLevel account audit?
A structured review of a HighLevel sub-account: pipelines, contacts, workflows, calendars, forms, integrations, SMS compliance and reporting. It lists what works, what is broken and what is missing, with fixes in priority order.
How often should I audit my GoHighLevel account?
After any big change (new offer, new team member, new integration, snapshot import) and otherwise every few months. Settings drift as people add workflows and fields without removing old ones.
Can I audit my GoHighLevel account myself?
Yes. Use the checklist in this guide and test each path with a test contact. An outside audit helps when you are too close to the setup to see what is missing, or when you are not sure what correct looks like.
How much does a GoHighLevel audit cost?
Our audits normally cost $50 per sub-account. For a limited time, we are offering them free.
