Facebook Lead Ads Not Syncing to GoHighLevel? A Complete Fix Guide

Facebook lead form submissions not reaching GoHighLevel? Check page admin access, Meta lead access, the connection, form selection, field mapping and triggers.

Summary

When Facebook leads don't reach GoHighLevel, the cause is almost always on the Meta side: the connected Facebook user lost page admin access, lead access in Meta Business settings doesn't include the CRM, the connection token expired, or the page is connected to a different sub-account. If contacts do arrive but nothing happens, the issue is the workflow trigger or field mapping instead.

A Facebook lead ad that collects leads you never see is one of the most expensive problems in HighLevel: you pay for every lead, and the speed-to-lead advantage disappears while they sit in Meta. The fix is almost always a permission or connection issue, and it can be found methodically.

Short answer First decide whether leads are not arriving at all or arriving but not triggering anything. If they are not arriving, check (1) the Facebook user who connected HighLevel still has admin access to the page, (2) lead access in Meta Business settings allows the CRM, (3) the integration in HighLevel is still connected to the right page, and (4) the page is not connected to another sub-account. If contacts arrive but nothing happens, check the workflow trigger and the form's field mapping.

Step 1: Are leads missing, or just not triggering follow-up?

Search HighLevel contacts for the email or phone of a recent lead you can see in Meta.

  • No contact exists: the data is not reaching HighLevel. Continue to step 2.
  • The contact exists but no follow-up ran: the integration works. Jump to step 6.

Step 2: Check who connected the integration, and their page role

The native integration connects through a specific Facebook user. That user needs admin-level access to the Facebook page that owns the lead form. If that person left the company, was demoted, or removed the business from their account, the connection breaks without anyone being notified.

Fix: in Meta Business settings, confirm the connecting user has full control or admin access to the page. If the connection was made by a former staff member or contractor, reconnect the integration in HighLevel using a business-owned admin account.

Step 3: Check lead access in Meta Business settings

Meta has a separate layer called lead access (part of the page’s integrations in Business settings). If lead access has been restricted to certain people or apps, the CRM integration may be blocked from retrieving leads even if the user is a page admin.

Fix: in Meta Business settings, open the page’s lead access settings and make sure the CRM integration (shown under CRMs) and the connecting user are allowed to access leads.

Step 4: Reconnect and confirm the right page and forms

In HighLevel’s integrations settings, check that Facebook shows as connected and that the correct page is selected. Tokens can expire after password changes or security events on the Facebook account. If anything looks off, disconnect and reconnect, then select the page again.

Also confirm the specific lead form is being captured. If you created a new form for a new campaign, check it is included wherever your setup selects forms.

Step 5: One page, one sub-account

If you run an agency, check that the same Facebook page is not connected to multiple sub-accounts, and that each client page is connected inside its own sub-account. Mix-ups here send leads to the wrong client, which looks like “missing leads” from one side.

Step 6: Contacts arrive but no workflow runs

If contacts are being created, the integration is fine and the problem is downstream:

  • Trigger type: use the Facebook lead form trigger (not a regular “Form Submitted” trigger, which is for HighLevel forms).
  • Trigger filters: if the trigger is filtered to a specific page or form, confirm the new form is selected.
  • Re-entry: returning leads may be blocked if re-entry is disabled.
  • Published: the workflow must be published.

The workflow not firing guide covers each of these in detail.

Step 7: Check field mapping

Standard fields like name, email and phone map automatically. Custom questions on your Facebook form need to map to HighLevel custom fields. Problems appear when:

  • a question was renamed in Facebook after mapping was set up,
  • a custom field in HighLevel has an incompatible type (for example, multiple choice answers into a number field),
  • phone numbers arrive without a country code, so SMS cannot send.

Fix: check a recent contact’s fields against the original lead in Meta. Adjust mapping or field types, and prefer stable question names.

Step 8: Test with Meta’s lead ads testing tool

Meta provides a lead ads testing tool that sends a test lead for a selected page and form. Use it after every fix: submit a test, confirm the contact appears in HighLevel with the right fields, and confirm your workflow runs. Delete the test contact afterwards so it does not pollute reporting.

Recovering leads you missed

Leads are kept in Meta for a limited time and can be downloaded from the page’s leads centre or from Ads Manager. Export them, then import into HighLevel with a tag such as recovered-fb-leads. Before adding them to any automation, decide how to contact them: an automated “thanks for your interest” sent days late can confuse people, and a personal message usually works better.

Prevent it from happening again

  • Connect integrations from a business-owned admin account, not a personal one.
  • Add an internal alert: a simple workflow or report that flags when no Facebook leads have arrived in a set period while ads are running.
  • Re-test with the lead ads testing tool whenever someone changes page roles or business settings.

If you would rather have it traced and fixed for you, this is a regular part of my GoHighLevel integration work, including recovering missed leads and setting up alerts so it does not happen silently again.

Frequently asked questions

Why are my Facebook leads not showing up in GoHighLevel?

Usually because the Facebook user who connected the integration no longer has admin access to the page, lead access in Meta Business settings does not include the CRM, the connection expired, or the page is connected to a different HighLevel sub-account.

Can I get Facebook leads that were missed while the integration was broken?

Leads remain downloadable from Meta for a limited period, so you can export them from the page's lead centre or Ads Manager and import them. Import carefully so they do not trigger messages to people who were already contacted another way.

Should I use Zapier for Facebook leads instead of the native integration?

The native integration is usually the better default: it is free and supports a dedicated workflow trigger. Zapier makes sense when you need logic the native connection does not offer, at the cost of per-task pricing and another point of failure.
